For the purposes of this policy the Data Controller is Glaslyn Leisure Limited (hereafter referred to as "GLL", "we", "us", or "our"), the registered parent company of Coed Gelert Holiday Cottages.


The General Data Protection Regulation (GDPR) does not allow the holding of any personal information about guests other than basic information required to facilitate a booking or fulfill a contract. Data held must only relate to a booking and may not be used after the purpose it was intended for unless the guest has agreed to specific use of their data.


We therefore ask for your consent on our booking form to use your details, specifically your name, email address and/or postal address to contact you in the future for direct marketing purposes only. We do not collect or store credit card or bank details in any format.


All details provided on our booking and guest registration forms are never shared with any third party.

You have the Right to be Forgotten. As a previous customer you can request that we remove all of your personal data from our system. We take all reasonable steps to keep your data safe and secure and to ensure the data is accessed only by those who have a legitimate interest to do so. We will use strict procedures and security features to try to prevent unauthorised access.

Privacy Policy

Our online booking and guest registration forms are created in and stored by JotForm. They have their own Privacy Notice and Security Statement


Data is shared within the company (GLL) between departments such as enquiries, house-keeping and finance via a secure email system. Only details essential to that department of the business are given.


Data is stored securely both electronically on several company PCs and as printed documents in a locked filing cabinet. We will retain emails on our local computers indefinitely unless the removal of data is requested. Emails may also be kept on our mail servers. Paper copies of the booking and guest registration forms are retained for 10 years as required by law. These are then shredded and disposed of securely when no longer required.


We will report any unlawful data breach to any and all relevant persons and authorities within 72 hours of the breach if it is apparent that personal data stored in an identifiable manner has been stolen.

An electronic database of all previous guests is held by GLL. This contains lead guest names, address, contact numbers and email addresses. Postal addresses may be used to send direct marketing such as Christmas cards. Email address may also be used to send direct marketing. We have not asked our existing database to opt in, but we do advise you once again that if you wish to never hear from us again please contact us at to be removed from our database.


Data will be updated as inaccuracies are discovered. For instance, if a customer can no longer be reached on their stored telephone number or email address, it should be removed from the database.
